AI in Customer Service

Q8DM Blog

Most companies open their AI customer service project with the wrong question: which tool do we buy? The better question is which part of the queue is quietly eating the team's day. The tool is the small part. The rest is data, process, and knowing where automation must stop.

Start with the queue, not the chatbot

Pull your last two hundred conversations and read them yourself. You will usually find the same handful of questions: order status, pricing, working hours, returns, payment methods. That block is where automation pays off. Everything else still needs a person.

Skip this step and you end up with a bot answering in generalities, and customers who stop trusting the channel.

Three jobs worth automating first

None of these require replacing your helpdesk, and all three show up as time saved on first response.

Draft replies are the safest entry point. Agents keep control, you collect examples of good and bad output, and nobody comes to work on day one to find a new system answering for them.

Your knowledge base does the real work

Any AI support system answers from what you feed it. If your policies live in one employee's head or in old WhatsApp threads, replies will contradict each other. Put prices, hours, return rules and delivery terms in one maintained place, and update it whenever something changes.

In Kuwait, customers switch between Arabic and English inside the same message and spell product names in Arabic letters. Test your setup on those messages, not just clean formal Arabic.

Where it has to stop

Complaints, payment problems, exceptions, anything involving money or a commitment: route those to a human the moment they appear. Tell the customer you are handing over, rather than leaving them to guess whether anyone is there.

How to tell whether it works, and what to do this week

Measure three things before and after: time to first reply, share of conversations resolved on first contact, and customer satisfaction. If the first one drops and the other two do not move, you have a content problem, not a tooling problem.

Read a sample of automated replies every week as if you were the customer. The numbers tell you something is wrong; the reading tells you what.

Then take ten recurring questions, write approved answers, and put them somewhere the whole team can find. That alone improves service before you buy anything. If you need those tools wired into the systems you already run, Q8DM has been building software and support workflows for Kuwaiti organisations since 1998, and we usually review the current setup before recommending anything.
