Analysis Skills for Non-Technical Staff: Excel First

Q8DM Blog

Most people who need answers from company data have no technical background, and they do not need one to start. Excel is already on their machine, and four features cover most of the questions a manager asks: what sold, to whom, when, and for how much.

Start with sorting and filtering

Before anything clever, learn to look at the data properly. Turn the sheet into a table, add filters, and sort by date or amount. Half of all "we need a report" requests are answered by filtering one column and reading the result. This alone teaches the most important habit: knowing what is in the file before doing maths on it.

Pivot tables: the one skill worth the effort

A pivot table groups rows and sums them without formulas. Sales by branch, by month, by salesperson, in a few clicks. It is the closest thing Excel has to a magic button, and it is not hard once someone has shown you twice. Teach it on your own data, not on a sample file about fruit sales.

Lookups and charts

VLOOKUP and its newer cousin XLOOKUP pull a value from another sheet: a price, a customer name, a status. They are how you join two lists that share one column, like an invoice list and a customer list.

Charts come last, and simple is better: a column chart for comparison, a line chart for trend. If a chart needs a paragraph to explain it, it is the wrong chart.

Clean the data first

Every analysis is only as good as the sheet underneath it. Before you calculate, check for:

When Excel stops being enough

Excel is the right tool until it is not. Three signs it is time to move on: the same report is rebuilt by hand every week; several people need to work on the same live numbers; or the file has become slow and fragile with tens of thousands of rows. At that point the answer is usually a database behind a reporting screen, not a bigger spreadsheet.

This is the step where Q8DM usually gets involved, after the team already understands its own data rather than before. Training first, tool second, is the order that works.

Pick one feature this week and use it on real work: filter last month's sales, then build one pivot table from the same sheet. If your team needs a structured start, a short hands-on course covers sorting, pivots, lookups and data cleaning in a few sessions. Details at q8dm.com.
