Every business has backups. Very few know whether those backups restore. The gap only shows on the day you need a file back and find the copy is incomplete, encrypted with a password nobody has, or sitting on the same drive that failed. The 3-2-1 rule gives you a structure. A restore drill proves the structure works.
Three copies of the data, on two different types of storage, with one copy off-site. That covers a dead drive, a stolen laptop and a fire in the office. The fourth part is the one most companies skip: a copy you have never restored is a hope, not a backup.
Backups drift. Software updates, folders get added, an employee changes a save path, permissions change when someone leaves. A plan that worked last year can be copying half of what you think it copies. A quarterly drill catches the drift while it is small and keeps the test a routine instead of a panic.
Two roles, not one. Someone executes, either internal IT or your provider. Someone else accepts the result: the owner or a manager who carries the decision when systems are down. Sign-off is not paperwork. It means a named person looked at the restored data and said "this is good enough to run on", with a date attached.
Date, who ran it, who approved it, which copy was restored and where it came from, what was opened and checked, how long it took, and any warning signs. If something failed, record the fix and the retest date. That log is your evidence to a client or an auditor, and after three or four drills it shows patterns you would otherwise miss.
Testing on the same machine that holds the original, so nothing is proven. Keeping the encryption password with one person who happens to be on leave. Testing a small folder and stopping before the database because it is large. Test the hardest item, not the easiest.
Q8DM sets up backup schedules and restore logs for businesses in Kuwait, and puts the drill on the calendar as a fixed date rather than an idea that arrives during an emergency.
If you cannot remember the last time you restored a file, that is reason enough to start this month. Begin with one log and one drill, then see what it tells you. Need help setting it up? Talk to us at q8dm.com.
