Plenty of companies own a beautiful forty-page brand PDF that nobody opens. Every employee then picks colours and fonts by taste, and a month of posts comes out in four personalities.
The answer is not a bigger document. It is one page the team actually uses, and it is written for the staff member preparing a deck as much as for the designer. Q8DM sets these pages up with client teams for exactly that reason.
A new employee should produce correct material in ten minutes without asking anyone. One page, one file, one link everyone knows. If a rule needs a long explanation, the rule is unclear or impractical.
Start with the decisions that repeat: colour, font, size, spacing. Rare secondary colours can come on a second page later.
Write every colour as a full value, never as a description like the company blue. The number is what prevents drift between one employee and another, and between a screen and a printer.
Put the values in a two-column table, screen and print. CMYK will not match HEX exactly, so pick the nearest approved shade and record it instead of leaving it to taste.
One font for headings, one for body. The Arabic heading font must stay clear at large sizes, and the Latin partner must match it in weight, or the page looks like two identities stitched together.
State for each font: file name, heading weight, body weight, minimum size. Also state what is banned: default office fonts, the heading font in long paragraphs, italics in Arabic. Italic Arabic hurts readability.
Choose three heading sizes and three text sizes as numbers: main heading, subheading, small heading, body, secondary text, caption. Any size outside the list needs a reason. For spacing, use fixed multiples such as four or eight.
Files belong in one place everyone can find, not on the designer's laptop: logo versions, font files, the colour file, the slide template. Name them with version and date.
Appoint one person to approve exceptions. A post needing a colour outside the palette goes through them. At q8dm.com this gap is the most common reason an identity drifts within a year of launch.
The strongest part of the page is the short list people actually read:
Review the page once a year, or when the identity changes. The rest of the time it stays fixed, and that is what makes it useful. q8dm.com has worked in design, software and training in Kuwait since 1998 and can review the guide you already have. Visit https://q8dm.com to arrange a short session.
