Most support teams know they are busy. Very few can prove they are effective. A small set of well-chosen KPIs turns daily tickets and calls into a picture you can act on, whether your team answers on WhatsApp, phone, email, or inside an app.
Start with five numbers, not fifty. Measuring everything usually means measuring nothing well.
How long a customer waits before a human replies. This number sets the tone of the whole conversation. Track it per channel, because a WhatsApp reply and an email reply do not follow the same clock.
Define the start of the clock clearly: the moment the message arrives, not the moment someone opens the inbox in the morning.
How long until the issue is actually closed. Response time measures the speed of acknowledgement; resolution time measures the speed of fixing. A team can answer in two minutes and still take three days to solve.
If resolution time is high, look at handoffs first: approvals, missing information from another department, and unclear ownership of a case.
The share of cases solved in the first interaction with no follow-up needed. This one exposes weak scripts, incomplete product information, and agents who have no authority to make small decisions.
Give your team a written list of what they may decide alone, such as a refund up to a limit, a replacement, or a delivery date change. Most repeat contacts come from hesitation, not from difficult customers.
A ticket that comes back means the fix was not real. Track the reopen rate weekly. A sudden rise usually points to pressure to close fast rather than close well.
One short survey after closing: one question, one to five stars, optional comment. Keep it to a single question or people skip it. Read the comments every week, not once a quarter.
In our work at Q8DM with support teams, the ones who get value are the ones who start with two numbers and run them for a month before adding a third. Teams that jump to a full dashboard in week one usually abandon it by week six.
Pick your two KPIs, write the definition in one sentence each, and check them every Monday. When the numbers stop surprising you, add the next one. Want a support dashboard that fits your real workflow instead of a generic template? Start at q8dm.com and we will map your channels and build the reporting you will actually use.
