Executive Dashboard: What Should a Manager Actually See?

Q8DM Blog

Most managers open five systems before their first meeting, then ask three people what the real number is. An executive dashboard exists to end that: one screen, six numbers, updated on a schedule everyone trusts. It is not a wall of charts, and it is not the same thing as an operations board.

Executive view versus operations view

Mixing the two is the most common reason dashboards die. An operations dashboard belongs to the warehouse or sales team: orders today, stock per SKU, tickets open, tasks overdue. An executive dashboard shows what shapes the company over the next 90 days to a year: revenue, margin, cash, customers, and people.

Use one test. If the number changes hourly and someone must act on it today, it belongs to operations. If it drives a decision about pricing, hiring, or investment, it belongs on your screen.

The six numbers worth the space

Anything that does not lead to a decision should be removed. A dashboard with 35 KPIs becomes wallpaper.

How often should it refresh?

Cadence follows the number, not the tool's capability:

The bigger issue is the source. If a dashboard is fed by a spreadsheet someone compiles at month-end, it will be stale within two months and people will quietly stop trusting it. Pull from the system of record, and publish the definition next to the number.

Mistakes we see repeatedly

A two-week starting plan

Sit with your accountant and sales lead and list the six to eight questions you ask in every management meeting. Each question becomes one metric, with one owner who explains any movement. Then map each metric to its source system, agree the definition, and ship a first version with four numbers on it. Expand only after a month of real use. Q8DM has worked with organisations in Kuwait since 1998 on exactly this kind of groundwork: agreeing definitions first, then connecting systems so leadership reads one version of the truth.

Start with a single question: what decision am I trying to make from this screen? Answer it, then build the dashboard around that answer. If you want a second pair of eyes on the design, talk to the team at q8dm.com.
