Field Rep App: Assigning Tasks and Tracking Visits

Q8DM Blog

A sales rep in Kuwait spends most of the day in a car. Between Shuwaikh, Salmiya and Ahmadi, the day disappears into visits, waiting rooms and traffic. If the only record of that day is a WhatsApp message at nine in the evening, nobody really knows what happened โ€” not the rep, not the manager. A small internal app fixes that with three things: a clear task list, a simple check-in, and a short note per visit.

What the Rep Sees in the Morning

The first screen should answer one question: where am I going today? Not a dashboard, not a chart. A list, ordered by area, with the reason for each visit written next to it.

Grouping by area is not a detail. A rep who drives Salmiya, then Jahra, then back to Salmiya loses two hours and arrives at the third stop already tired.

Visit Check-In Without the Drama

One button on arrival, one on departure. The app records the time and the location, and that is enough. The rep should not have to type an address the phone already knows, and should not be asked to confirm the same location twice.

Location is there to confirm the visit happened, not to watch the car. That distinction decides whether the team actually uses the app or quietly works around it.

One Photo and Two Lines

A photo of the shelf, the delivery, or the signed receipt replaces a long report. Add a short note field โ€” two lines is plenty โ€” and a fixed list of outcomes: order taken, customer closed, rescheduled, issue resolved.

Fixed outcomes are what make the manager's screen useful later. Free text is impossible to count and impossible to compare.

When the Signal Drops

Basements, warehouses and some buildings in Kuwait will kill the connection. The app has to keep working: save the visit on the device, show it as pending, and send it when the phone finds a network again. If the app blocks the rep until it reaches a server, the rep will abandon it โ€” usually after the second failure.

What the Manager Should See

Visits completed against visits planned, visits per area, customers not seen in thirty days, and notes that mention the same problem twice. That is a working view. A live map with a dot moving every minute is not, and it teaches the team to hide instead of report.

What to Avoid

Where to Start

Start with one team and one week of real visits. Fix the list order and the note field before adding any reports. You can see the range of work at https://q8dm.com โ€” a small field app is a fair first project if the scope stays honest.
