An Internal AI Usage Policy for Your Company

Q8DM Blog

Most companies in Kuwait already use AI tools. The policy usually arrives later โ€” often after a document with client names has been pasted into a chatbot, or after two employees get contradictory answers from the same tool.

An internal AI usage policy is not a legal document that lives in a drawer. It is a short working agreement: which tools are allowed, what information may enter them, and who checks the output before anyone uses it.

Why good judgment is not enough

Because judgment varies. One employee treats a customer list as sensitive; another treats it as ordinary working material. Without a shared definition, the same file leaves the company through three different doors in one week.

A policy also protects you when something goes wrong. The first question after an incident will be whether rules existed and whether staff knew them.

Classify data before choosing tools

A rule people actually remember: if you would not let an outsider read it, do not paste it into a tool that stores everything.

Set the tool list and the accounts

Approval does not mean banning everything. It means a short list: these tools for these purposes, those are off limits. Accounts should belong to the company, not to someone's personal email โ€” otherwise files vanish when a person leaves and nobody can adjust the settings.

In the settings, turn off training on your conversations where the option exists, and keep retention to the minimum you need.

Human review is the control that matters

Anything that reaches a client, gets published, or feeds a financial decision should pass through a person. Models write confidently even when they are wrong, which is exactly why a reviewer matters. The employee who sends the text owns the text, not the tool.

Agree on hard limits too: no final legal opinions, no medical advice, no automated hiring decisions, no replies to financial complaints without review.

Roll it out in a way people follow

  1. Draft two pages, not twenty. Circulate to management, finance, and legal if you have them.
  2. Run one session with real examples โ€” a leaked contract, a wrong price, an invented citation โ€” instead of reading clauses aloud.
  3. Attach it to onboarding and to the employment contract.
  4. Review every six months. Tools and regulations move faster than documents.
