Property Management Systems: What to Track in Kuwait

Q8DM Blog

A building with eight units fits in a spreadsheet. Twelve buildings, three owners, sixty cheques a year and a maintenance request every other day do not. The file still opens, but it stops answering the questions that decide your month: who owes what, which contract expires next, and which unit has been empty for eleven weeks.

What the system has to track

Signs the spreadsheet has run out

The first sign is duplicate work: the same tenant written in two sheets under two spellings. The second is silence around renewals, where a contract lapses because nobody set a reminder. The third is an owner asking for a statement and three people assembling it by hand from bank messages and WhatsApp photos of receipts.

None of these are spreadsheet failures exactly. They are failures of a tool that stores numbers but does not hold relationships between them.

Keep rent collection familiar

Tenants in Kuwait pay by cheque, by bank transfer and sometimes in cash at the office. A system that assumes cards will fail on the first month. Record the method as it actually happens, including post-dated cheques and their clearing dates, and send a reminder a few days before the due date rather than after it.

Late payment tracking should be boring and visible: an aging list by building, sorted by days overdue, with a note on the last contact. That single screen replaces most of the collection calls.

Start with one owner, not the portfolio

The tempting mistake is to migrate everything at once. Instead, pick the cleanest building, or one owner's units, and run it properly for a month.

What good looks like after a month

You open one screen and see occupancy per building, rent collected against rent due, contracts expiring in the next sixty days, and open maintenance older than a week. Nothing there requires a phone call to confirm.

Q8DM builds software, design and training work in Kuwait since 1998, and property systems succeed or fail on the same detail: the unit list has to be true before anything else is. Get that right and the rest of the rollout is mostly data entry.

If your portfolio has outgrown the spreadsheet, Q8DM can scope the system around how you already collect rent and report to owners. Start at q8dm.com.
