The store sells and the accounting system records, and between them someone usually retypes numbers at the end of the month. That works until order volume grows, then the gaps appear: an order never recorded, a refund never deducted, tax calculated on an outdated amount. Connecting the two systems fixes this when it is done deliberately, not by linking whatever is available.

What Should Sync Between Store and Accounting

• Orders: order number, date, sale value, and payment method.
• Payments and refunds: every financial movement needs a matching entry in accounting.

What matters is consistency, because mixing both methods is what creates unexplained differences.

For tax and invoices, make sure the rate and amount arrive from the store as final values rather than being recalculated in accounting. Double-counted tax produces a small variance every month, and after a year it becomes a number nobody can trace.

Consider an order with paid shipping, a discount code, and a partial refund a week later. If the integration sends only the order total, accounting records more revenue than actually exists, and the difference sits unresolved until someone investigates. Shipping, discounts, tax, and refunds all need defined treatment before go-live, not after the first month closes.

Duplicate Errors and How to Avoid Them

• Sync running twice: the same order posts twice when a connection drops and the system retries. A unique order identifier prevents this.
• Editing an order after posting: changing quantity or shipping after the entry leaves the two systems disagreeing. The change needs an explicit adjustment entry.
• Cancellations without reversal: a cancelled order must be reversed in accounting, not just removed from the store.
• Currency differences: if you sell in more than one currency, fix the conversion rate and its source before go-live.
• Duplicate customers: the same buyer creates two records because an email or phone number differs, which makes reconciliation harder.

• Define the scope: what posts automatically and what stays manual.
• Clean the master data: customers, items, and the revenue account mapped to each item.
• Test on a sandbox or a copy of the books, never on live records.
• Run the first period in parallel with manual entry and compare results daily.
• Document the posting rules and exceptions so the process does not depend on one person.
• Assign an owner to review reconciliation weekly and close differences before they accumulate.
